The Startup Guide for Sending All Your Emails Through GMass

Why power users send all their emails through GMass for tracking, scheduling, follow-ups, and more

Odds are you found out about GMass when you were looking for a better way to send email campaigns — whether that was cold outreach, email marketing, or mail merges large or small.

But as you use GMass more and more, you’ll realize its powers extend beyond your email campaigns.

Which is why many power users actually send all of their emails through GMass.

How? Why? We’ll fast forward to your “Eureka!” moment and explain it all right here.

Startup Guide for Sending All Your Emails Through GMass: Table of Contents

The Basics of GMass

Before we jump into sending every email through GMass, let’s make sure you have the raw basics down of the platform.

Quickstart Guide

We always recommend everyone new to GMass begin with the quickstart guide.

This guide takes you through setting up the GMass Chrome extension… connecting your Gmail or Google Workspace account… connecting a Google Sheet… and creating a campaign using mail merge.

More basics?

You can get even more familiar with GMass by learning all about the settings box as well as the dashboard.

How You Can Send All Your Emails Through GMass

Because GMass works directly inside of Gmail, it’s right there, ready to send any and all of your campaigns.

GMass works with an address or addresses in the To: field

The most common way people send campaigns through GMass is by connecting a Google Sheet of contacts.

But that’s not the only way to send with GMass. In fact, the most basic option is: You can put one address or multiple addresses into the To: field of the Gmail compose window.

That’s what makes it easy to send every email through GMass. Because you literally don’t have to do anything different than your usual email workflow.

You put the recipient(s) into the To: field like normal. (Or you reply to someone’s email.)

And then, you send by clicking a few pixels to the right of the Send button…

Using the GMass button to send

When you installed the GMass extension, it added a new red GMass button to the Gmail compose window directly to the right of the blue Gmail Send button.

That’s because the GMass button is like a replacement for the Gmail send button. You click the GMass button, not the Send button, to send your campaigns.

But you can also use that button to send any email, including emails to a single person or just a few people in the To: field.

Everyone receives their own individual email

If you send a regular Gmail message to a bunch of people in the To: field, they all see everyone else who got that email.

With GMass, everyone in the To: field gets their own individual message and won’t know you sent it to other people.

(Don’t worry if you actually do need the whole group to get the email to be able to reply to all. Just put everyone but one in the CC field.)

And that’s all it takes to send every email through GMass

Again, sending through GMass doesn’t require you to do anything different than your normal sending routine.

You still put the addresses in the To: field or reply to an email you received.

Then you send right from the Gmail compose window, just clicking the red GMass button instead of the blue Send button.

And when you send through GMass, you get all sorts of extra benefits

Why Send Every (or Almost Every) Email Through GMass?

Now that we’ve covered the “how?” we can move on to the “why?”

Here are the reasons why it’s better to send your emails through Gmail using GMass than through Gmail without it.

Email tracking

The most popular reason we hear for people using GMass to send their day-to-day emails is for the email tracking.

After all, it can be pretty illuminating and useful to find out whether someone has opened and clicked, how long ago they opened and clicked, and what links they visited.

Also, if you’re getting a lot of replies, it can be useful to see them all under GMass’s Replies label in Gmail — and helps you avoid missing an important message.

Every email becomes a template

Any email you send through GMass automatically becomes a template.

That means you can reuse them easily whenever you need in the future. (It’s also really simple to clean up your template list if it starts getting too unwieldy.)

Auto follow-ups

Want to make sure the person you’re emailing writes back (or clicks your link… or merely opens your message)?

Even with one-on-one emails you can use GMass’s auto follow-ups, which automatically go out until the person takes your desired action.

And since GMass’s default auto follow-ups are plain text messages, they look and feel completely organic.

ChatGPT writing assistance

GMass has ChatGPT built in (you don’t need to provide your own ChatGPT account — or pay for it) to help write your emails for you. Or at least the first drafts.

If you want, ChatGPT in GMass can also write and set up auto follow-ups for you as well.

The Reply Project

GMass doesn’t only excel at sending emails. The Reply Project is a GMass tool that helps you fly through your inbox in record time.

The Reply Project opens all your emails on one screen so you can type in quick replies — or use templates or ChatGPT to reply even faster. There’s no better way to get to inbox zero.

Send as replies

With GMass you can send new messages as replies to your last email with everyone on your list.

Let’s say you wanted to send a message to 10 contacts you hadn’t seen in a while to reconnect. With GMass’s “send as replies,” you could send an individual message to all 10 of them as a reply to your last email with each of them.

That makes your mass communication indistinguishable from one-on-one messages.

Scheduling

Gmail has basic scheduling features built in. However, GMass has advanced scheduling features like skipping certain days, skipping holidays, and working with a default time zone.

Mail merge

Mail merge isn’t only for large-scale campaigns.

There are lots of ways that GMass users employ mail merge for small, personal emails — from sending individual, personalized thank you messages to birthday party invitations.

More GMass Features You Can Use for Day-to-Day Emailing

While those are the most popular features among those who use GMass for their everyday emailing, that’s not all.

Here are some other features that you might find helpful for your more sophisticated personal email and outreach efforts.

Segmented follow-up emails

You can send new campaigns to people who did or didn’t take an action on a previous campaign in GMass.

If, for example, you sent messages to 10 friends asking them to pay you back after a trip, you could use segmented campaigns to send a new message to the five who didn’t open the email. (Or to the ones who opened but didn’t click on your Venmo link.)

Building lists out of searches

You can create a new list of people to email in GMass through any Gmail search.

For instance, if you wanted to send a thank you to everyone who emailed to congratulate you on a new job, you could run a Gmail search (for the word “congratulations” in a certain date range) — then GMass will turn those results into an email list.

HTML editing

Want to give your email a better design than Gmail’s default formatting bar allows?

GMass adds HTML editing to Gmail — no, Gmail doesn’t offer that natively — so you can add any sort of design you want.

Recurring emails

You can set up recurring emails in GMass for all sorts of personal uses.

One cool example: We’ve seen a user who set up a recurring campaign to automatically send emails when it’s a friend’s birthday.

Triggered emails

GMass’s powerful triggered emails go out when someone opens, clicks, or replies to your message.

If you need to get a message to someone, sending them an “URGENT” triggered email when you know they’re in their inbox is a way to make it happen.
